Security
Authentication
Standalone or Single Sign On. DocLink can authenticate users against its own standalone database or it can be customized to use a third party authentication scheme. Supported schemes are: Htaccess, NTLM (Windows Domain Controller) or LDAP.
Audit Trail
The audit trail is a very important feature of DocLink. It keeps track
of everything that goes on in the vault, from document changes to subscription
notifications.
User Based Security
Every file and folder in DocLink has a set of permissions. These are very similar to traditional UNIX style permissions, with one major enhancement: More than one user & group can be given read or write permission per file.
Locking
Documents can be "locked" by their owner. This prevents anyone from changing the document.
Access Control
Within DocLink you have the ability to restrict access to individual files or to whole folders of files. Access to a file can be granted to just one user, or to a whole group of users. Files and folders have Read / Write permission flags which means that one group of users might be able to modify a file while another group is "Read Only". This of course is completely customizeable for every inidvidual File or Folder in the vault. DocLink has been designed to be very flexible so that administration can be divided up among "power users" of the system. These so called power users are group leaders or managers - they can control who is part of their group.
Revision Control
The DocLink revision control system is split into two levels: major and minor or revisions and versions. A document with a revision level of "1.2" has had one major revision and two minor versions of that revision. Think of the "revision level" as a snapshot of a file at a given point in time. Every time that document is modified and then saved, a new revision is created.
Encryption
DocLink is compatible with SSL security certificates. SSL certificates are highly recommended if you are hosting your vault on a DMZ. They are not necessary if your vault is being hosted on a LAN. Certificates can be purchased from a third party such as Verisign or Thawte.
Ease Of Use
Full Indexed Search
Imagine being able to search the contents of all of your documents in less than a second. With DocLink you can. DocLink supports indexing of the major file formats that are out there. When an indexable file is uploaded or checked in, it is automatically indexed so that users can do full text searches. Microsoft Word, Excel, Powerpoint, PDFs, DocLink Forms, and all types of ASCII documents can be indexed.
Templates
Have projects that all require the same directory & file structure?
DocLink has a templating system that will make the task of creating new
project directories painless.
Trash
We’ve all accidentally deleted a file before. That’s why DocLink has
a Trash folder which can be configured so that only the Administrators
of the system can empty it. Even if the Administrators are having a
bad day, files can also be restored from the database’s binary log. It is
nearly impossible to accidentally delete a file.
Show All Revs
What’s the point of having revision control if you can’t go back and look
at previous versions of a file? The show all revs option lets users view
any one of the revisions of a document.
Scalable
If you have one hundred or one hundred thousand files, you won’t notice any difference in performance. DocLink has been designed from the ground up to be as fast as possible, no matter how many files you have.
Web Based
Being web based is a good thing? Yes. A very good thing. Because DocLink is web based, there is absolutley no software to install on the client computers. Your users will simply use a web browser to access the DocLink vault. Additionally, your DocLink vault can be configured so that your users can access it from anywhere in the world.
Heirarchial File Structure
Files are organized in a traditional folder tree, which is familiar to users. Power Users may prefer to take advantage of DocLink’s powerful search functionality to locate documents instead.
Forms
Forms are very powerful web based DocLink documents. They support various types of error checking, can be export into XML, XLS & CVS and also have a highly advanced audit trail system.
Collaboration
Broadcast
Any user can send any other user or group of users a Broadcast to a file or folder. The Broadcast is sent via email and contains a link back to the file or folder that was broadcasted on. No copying and pasting of links required and no email attachments choking up your mail server.
Subscribe
Subscribe to any document - or even to a whole folder of documents to automatically receive email notifications when changes are made. Users can manually subscribe to individual documents or folders or dynamically subscribe using a Smart Subscription. Whenever a file is modified, they will receive an email notification.
Smart Subscriptions
Want to subscribe to all documents of a certain type? Smart Subscriptions
are a powerful and unique feature of DocLink. They allow your users to
subscribe to the result of a search query. These subscriptions are dynamic
so the user is automatically subscribed to all existing documents as well
as those that haven’t even been created yet.
Tasks
Using the broadcast pane, users can optionally assign a task to other users. The asignee can either accept or reject the task and the asigner gets a notification when the task is complete. Everything is recorded in the audit trail as well.
My Stuff
My Stuff is the personalized section of DocLink where users can see their assigned tasks, subscriptions & checked out documents.
